Using ACCESS

This Frequently Asked Questions (FAQ) was built to help answer your questions about the ACCESS Student System. Many answers will come directly by using the system. If you are unable to find a solution to your problem that may arise from use of the ACCESS System, please contact the Registrar's Office at 435-797-1098. Although we know most answers will be found here, not all solutions will be found. Feel free to visit or call the Registrar's Office (TSC 246, 435-797-1098).

You Can Pay Your Tuition and Fees Using ACCESS

In order to pay your tuition, you need to know your Student ID (A#) and Password. You can pay tuition and fees with MasterCard or Discover (Sorry VISA and American Express cards not accepted).
Please note that payment is due by the deadlines listed Here. If full payment is not received by this date or you do not have Financial Aid/Scholarships available to cover the exact balance, all of your classes may be dropped. You are still responsible to drop any courses you do not wish to take. Please note that by Federal Law, a student account cannot have Financial Aid Awards paid until 3 days prior to a semester's beginning. However, the estimated totals can be verified by contacting the Financial Aid Office (435-797-0173) or Registrar's Office (435-797-1098). Please login to ACCESS to view the student's record.
***Please note that Student body fees are determined by the Student Fee Board and approved by the Board of Regents. These cannot be waived.***

What is ACCESS?

ACCESS is the Student Records System also known as Banner. This system allows students and faculty broader access to their information. ACCESS was launched in April 2005, and the Registrar's Office is enthusiastic about this new system. ACCESS offers many enhancements that the QUAD system could not provide. Finally a system driven by A#'s (new student number) and not by SSN's allows Utah State University to better align itself with FERPA guidelines and standards. Some services provided by this program include registration (adding/dropping classes), class schedules, grades, transfer credit, paying tuition and fees, changing your password (if you forget your password you can go to this site and click on the Forgot Password Button), local address, billing statements, and financial aid status.

How do I get into ACCESS?

You can login by going here and typing in your Student ID number (New A#) and password. If you do not know your A number or password, refer to the next question. The Student ID number is the brand new A# which no longer requires the use of your Social Security Number, and the password is assigned upon admission to the University. If you don't remember or have forgotten your Student ID # Click Here. What's my ACCESS Student ID# (A#) and password?

When you were admitted to USU, you were assigned an A# and password. If you do not know your A number, Click Here, and you will be directed to the page that will instruct you how to acquire your A#. You will be prompted to change your password the first time you login to ACCESS. The default password is

  • First letter of your first name (uppercase)
  • First letter of last name (uppercase)
  • Birth Month (MM)
  • Birth Day (DD)
  • Six-Digit Birth Date (MMDDYY)

and upon logging into the password site, you will be required to change this. For example, if your birth date is August 13, 1979, and your name is Abel Baker, try entering "AB0813081379".Every 180 days the system will prompt you to change this password. Your password must be 8 characters long, must start with an alpha character (a-Z), have at least three numbers, and may contain Numbers, Letters, and other Special Characters(No spaces please).

Why can't I find my A number using the online Student ID Lookup?

If you are unable to retrieve your A number using the Banner ID lookup online, you may wish to consider the following:

  • Did you request a privacy hold to be placed on your account? In an effort to extend a student's right to privacy, the look-up utility will not return Anumbers that have a privacy flag in place. If you'd like to remove this hold please make your request in person or by mail (photo ID verification or your original signature is required to remove this hold type).
  • Are you using the Social Security Number or other identification number you used while attending USU? If not, you will need to use that number to find your current Student ID number. For international students: if your student ID number was a number that began with 888 or was a number that was not a social security number, you will need to use that number.
  • Are you using the last name you used when you attended USU to find your A number? The A numbers have been indexed according to last name. If you changed your last name since you last attended USU, you will be required to use that name to retrieve your A number.
  • Was the last time you attended USU before 1980? When USU transferred to the electronic filing system, all students who attended USU in or following 1980 were given an A number and had their records transferred to the electronic system. If you attended USU prior to 1980, you will be unable to retrieve your A number because you have not been assigned one.

What if my Password doesn't work, ACCESS?

Your Password is initially set to be your

  • First letter of your first name (uppercase)
  • First letter of last name (uppercase)
  • Birth Month (MM)
  • Birth Day (DD)
  • Six-Digit Birth Date (MMDDYY)

until you change it. For example, if your birth date is August 13, 1979, try entering "0813081379". If that does not work, go to this site and click on the Forgot Password Button. You will then be prompted to answer a security question that you created when logging into ACCESS for the first time. If you require further help, please contact the USU Help Desk at 435-797-4358, or click on PIN Problems/Requests.
If you feel there is an error in your personal information, please use the Change of Information Form and provide supporting official documentation. Proof of personal information change must be provided, such as driver’s license, social security card, marriage certificate, court order, passport, etc. as either originals or photo copies. Please fax all documents and form to 435-797-1110.

Why can't I register for classes after logging in?

The primary reasons are: 1) You have a hold which restricts you from registering (i.e., student owes money or you need to see your advisor), 2) Registration is not available due to a computer problem or the registration dates have passed, 3) The course you are trying to register for has a restriction or prerequisite which the system does not acknowledge you have met, or 4) The class is full or the system does not recognize that you have met the course requirement(s). This problem is likely to happen to Transfer or Graduate Students. If the class is full, then the instructor's signature is needed on an Add/Drop form*. If a course requirement has not been met, then the Department Advisor over the course needs to sign a Course Authorization Form*. This form must be submitted to the Registrar's Office located in TSC 246. Call the Registrar's Office if you have questions at 797-1098. (*Note: Online forms require Adobe Acrobat Reader).
You will need the completed form(s) and must obtain the appropriate signatures of authorization. The message which you see on the screen may give you a better idea as to what is restricting you.

I receive an error while trying to register, what do I do now?

If you receive one of the following errors, please follow the process listed below to assist you: A) PREQ, B) CO-REQ, C) LINK, D) Advisor, E) Major, F) Closed Section G) Instructor. EXPLANATIONS and Instructions: A) PREQ. The course(s) that you are trying to register for has a required prerequisite. Please contact your advisor if further advising is necessary, then use the Course Authorization form to get the required signatures from the department responsible for the course. B) CO-REQ. The course you are trying to register for requires another course to be registered simultaneously (e.g., lab, recitations, other course, etc.). Please contact your advisor for further help if necessary. C) LINK. A specific recitation or lab section is required to be registered. Please add the linked section with the main section. Contact your advisor if you require assistance. D) Advisor. The student has a hold placed on his or her record by his or her advisor or advising department. The student must visit with his or her advisor to have this hold cleared. If you do not know who your advisor is, please contact University Advising. E) Major. These courses are reserved to students within the specified major. Contact the specific department for further information. F) Closed Section. Is closed due to class being full. Since only the primary instructor can extend this, the Add/Drop Card form must be complete with the appropriate signature. G) Instructor. Must contact the Instructor for further information. Please use the Course Authorization and/or Add/Drop Card form and make sure it is completed with the correct signatures for each of these situations as required and bring the form in person to the Registrar's Office (TSC 246).

When trying to register for a course, ACCESS won't allow me in. There is a course next to it in parenthesis. What do I do now?

This is not an error. The course you are trying to register for requires the prerequisite listed in the parentheses. If a course appears in parentheses, it may be taken concurrently with the course which requires this as a prerequisite. You must register for both simultaneously via ACCESS or you will encounter the same problems. If you require further assistance, please visit with your advisor then with the Registrar’s Office, TSC 246.

When is ACCESS available?

The ACCESS system is available 24 hours a day, 7 days a week. It can be accessed by any authorized web-enabled browser on or off campus. We no longer use a system that requires direct use of the student's Social Security Number, to further align ourselves with FERPA requirements.

Why can't I get my grades?

Possibly because a department at USU believes you owe them money. A "Transcript Hold" is sometimes placed on a student's record when a balance becomes past due. If you do not believe you owe any money, then contact the Registrar's Office.

Can I use ACCESS to get my unofficial transcript?

YES! Unofficial Transcripts are available via ACCESS. To order an Official Transcript please call 435-797-1118. For an explanation of your options with detailed instructions to follow, or Click Here for information on how to request a transcript online.

What about changing my address? Changing my @cc.usu.edu e-mail address?

Students are encouraged to use the ACCESS system to update their address and e-mail information. This will ensure that any correspondence (i.e. scholarship info) from the University reaches the student instead of getting bounced around by the postal system with the infamous "Returned to Sender" message stamped on the envelope. You may only forward email via ACCESS to another e-mail account using the "Update E-mail Addresses" utility in the "Personal Information" tab . University communications from officials, advisors, and instructors will come through the e-mail account that you have marked as 'Preferred' in ACCESS. Aggiemail accounts have not yet been implemented completely in this system, and as such if you wish make another e-mail address your preferred e-mail instead of your Aggiemail account, you will need to contact the Registrar's Office or the IT Help Desk

Where is the student records system called the QUAD?

The QUAD was replaced by ACCESS. Students use this system for registration and many other functions. This system is open 24/7 and able to be ACCESS-ed by any web enabled browser (minimum 128-bit encryption required).
